Scope of backup We back up Exchange Online (emails, calendars, contacts), SharePoint Online (sites, folders and libraries), OneDrive for Business (documents, folders and libraries) and Microsoft Teams (channels, conversations and apps). Microsoft Teams chats may or may not be part of the backed-up data. If you also want to back up Teams chats, expect additional costs borne by the customer: chat backup requires a separate agreement directly with Microsoft.
Immutable backup copies On plans with a secondary copy you can switch on immutable backups: backed-up data can then be neither changed nor deleted, not even in a ransomware attack. You can also encrypt your data with your own password.
Flexible restore points Backups run daily in the time window you choose and are kept from 7 days up to 2 years. Restore whole mailboxes or single items from any restore point, to the original or a new location.
Secondary backup copy A secondary copy automatically duplicates every change in your first backup to a geographically separate data center, protecting you even if a whole site fails.
Why do I need a backup if Microsoft already stores my data? Microsoft is responsible for the uptime of the Microsoft 365 infrastructure, not for your data’s long-term retention, accidental deletion or ransomware recovery. That is covered by a separate backup under the shared-responsibility model.
What exactly gets backed up? Exchange Online mailboxes, OneDrive files, SharePoint sites and libraries, and Microsoft Teams data — all covered by a single backup.
How far back can I restore data? Retention is configurable to match your own policy — you decide how long restore points are kept, rather than relying on Microsoft's limited default retention window.
Can I restore a single email or file instead of the whole mailbox? Yes. Restores are granular: recover a single email, file, folder or site without having to restore an entire mailbox or drive.
Is Microsoft Teams data included in the backup? Yes. Teams data is backed up alongside Exchange Online, OneDrive and SharePoint — no separate service is needed.
Do I need technical experience to use this backup? No. Backups run automatically once configured, and restores are performed through a straightforward interface without specialist administration skills.
